Volunteer Roles

As you are no doubt aware this club is run by its many dedicated volunteers (including the Board), without whom the Club would not be able to function. If you can help even a little it will help to keep the club effective and vibrant. Volunteering doesn't always require a long term commitment, Sometimes we need extra volunteers for a specific short term function such as, helping out at a tournament, erecting tents, calling a list of coaches etc.

President

(1) Current : Mike Sutherland
  • official representative and speaker on behalf of the club
  • member of all standing committees
  • preside as chairperson at all meetings of the Board
  • assign duties to members of the Board and other officers
  • sign cheques, other instruments requiring the President's signature
  • present a printed annual report on activities of the Club at the AGM
  • deciding vote if necessary
  • oversee executive
  • perform all other duties incidental to the office of President
  • have such powers and duties as may be assigned by the Board

Vice President

(1) Current: Cameron Duff
  • be vested with all the powers and duties of President as may be assigned by the executive in the absence, inability or refusal of the President to act
  • alternate signing authority for cheques issued
  • have such other powers and duties as may be assigned by the executive

Treasurer

(1) Current: Ben Thompson
  • be custodian of the funds and securities of the club
  • be responsible for all funds of the club
  • keep necessary books of account up to date
  • present a report on financial position of the club at all meetings of the Board
  • prepare a comprehensive annual report for distribution at the AGM
  • arrange for annual review or audit of Club's books
  • annually, with Board, prepare a budget
  • signing officer
  • perform all other duties incidental to the office of treasurer, or as the Board may from time to time require

Secretary

(1) Current: Jamie Brown
  • attend all meetings of the executive and AGM and act as clerk thereof
  • record all votes and minutes of all proceedings in books to be kept for that purpose
  • issue notices for meetings of the Executive and General Meetings when directed to do so
  • record and circulate to the Executive the minutes of each meeting
  • make minutes available to members on request, once they have been approved by the Board
  • be custodian of all books of record of the Club and shall pass these on to a successor upon retiring from office
  • keep a record of names, addresses, phone numbers, email addresses and other pertinent information of all members of the Club
  • perform all duties incidental to office of secretary or as the Executive may from time to time require

Director of Registration

(1) Current: Vacant
  • with executive updates registration form prior to registration
  • oversees registration
  • books dates and locations for registration
  • processes completed registration form into computer
  • provides player lists to House League and Competitive Convenors
  • provides list of potential coaches to Coaches Convenor
  • works with treasurer for processing cheques
  • presents Executive with registration numbers and team division requirements in the spring at each meeting after registration

Directors of Equipment

Current: Nicole Craig-Campbell and Kevin O'Shea
  • keep up to date inventory of uniforms and equipment
  • fill and distribute team bags through Directors/Conveners
  • arrange return of bags through Convener
  • communicating with Purchaser and Board for replacement equipment and uniforms as needed
  • responsible for obtaining quotes and options for uniforms and equipment based on Board requests
  • communicating findings to Board for decisions
  • ordering and arranging for delivery of equipment
  • communicating with Treasurer for payment of invoices

Directors at Large

  • perform duties required by the Board throughout their term
 (4) Current: Vacant, Director of Competitive Operations (U13 to U18) players 
  • maintain smooth and efficient operation of our competitive teams
  • communication with team coaches/managers is essential
  • work with Director of Minisoccer  to recruit and train suitable coaches
  • meet with coaches prior to season start to make them aware of constitution and by-laws of both our club and the league we are playing within (i.e. OCSL, ERSL)
  • obtain interested players lists from registrar and pass information on to coaches in mid February
  • arrange for tryout times for teams and make teams aware of cut off deadlines and rules regarding player cuts
  • work with field convener to allocate fields and practice times
  • promptly report any problems relating to competitive teams to Board
  • assist team managers in searching upcoming tournaments and assist them where necessary
Marcel Bos, Director of Youth House League (U11 to U18) and Adult House League
  • attend all KDSC Executive meetings
  • collect league registration list from registrar and with the help of Board determine how many teams will be needed for each age level (based on minimum and maximum guidelines)
  • communicate number of teams to Director of Equipment 
  • communicate the following information to individual age group conveners: field locations, nights of play, practice field info, name lists, coach lists and equipment info, clinic and training info
  • bring complaints and issues to the Board immediately so they can be dealt with
  • work with Volunteer Coordinator to set up screening and security checks for coaches
Heather Ungar, Director of Mini House League (U3 to U10)
  • responsible for the recruitment and training of coaches
  • organize coach certification clinics
  • work with registrar, house league and competitive conveners to ensure all teams have adequate coaching
  • work with Volunteer Coordinator to set up screening and security checks for coaches
Chris Moore, Director of ERSL Development Teams (U9 to U12) 
  • maintain smooth and efficient operation of our ERSL Development teams
  • communication with team coaches/managers is essential

Field Convenor

Spring
  • ensure fields are safe and ready for use be season start
  • putting up mesh
  • ensure maps are provided for all fields that will be hosted out of town games
  • work with Township Liaison/Township on cutting/lining of field schedule
  • arrange practice schedules so that all teams have equal field time

Summer
  • check fields periodically to ensure they are safe and notify correct office if any repairs are required
  • schedule changes must go through Field Convener to allow for best use of fields
  • notify Equipment Manager of any net or mesh problems

Fall
  • notify appropriate offices when fields are no longer needed
  • notify executive off any fields requiring minor or major repairs for next season
  • provide list of field usage to treasurer for billing purposes

Volunteer Coordinator

U3, U4, U5, U6, U8, U12, U15 and U18 House League Convenors

(1 each) Current: Vacant
  • receive information from Director of Mini Soccer (U3 to U10), Director of Development Soccer (U9 to U12), or Director of House League (U11 to Adult) and use it to make team lists, schedules and info sheet for teams in your division (hand out to coaches - a meeting for all coaches in your age group is recommended)
  • deliver team lists to appropriate Director to pass to Registrar. Deliver team lists to Coaches.
  • deliver team schedules to appropriate Director to pass to Field Coordinator and Referee Scheduler
  • organize Funday activities for your age group working with the appropriate Director and other Funday volunteers, and communicate plans to Board
  • recommended attendance at most executive meetings
  • report any problems or concern to appropriate Director or directly to Board
  • arrange for equipment pickup and return with Director of Equipment and Team Head Coach

Men's House Convener

  • receive player lists from Registrar and make team lists
  • distribute team list and schedule to teams as they become available
  • deliver team lists once complete to the Registrar and Club President
  • deliver schedules to Referee Scheduler and Field Convener
  • organize end of year activities
  • work with Field Convener to make use of practice fields

Women's House Convener

  • receive player lists from Registrar and make team lists
  • distribute team list and schedule to teams as they become available
  • deliver team lists once complete to the Registrar and Club President
  • deliver schedules to Referee Scheduler and Field Convener
  • organize end of year activities
  • work with Field Convener to make use of practice fields

Sponsorship

(1) Current: Vacant
  • solicit sponsors from within our community for KDSC 
  • collect all sponsorship fees and pass to treasurer
  • work with equipment manager to ensure that shirts are screened properly with sponsor information
  • deliver team photos in frames to all sponsors when available
  • extend thank you (written) on behalf of KDSC at the end of the season

Referee Scheduler

(1) Current: Lou Judge
In consultation with the Head Referee, assigns KDSC referees to scheduled games (house league, and as required for other leagues)
  • Review the league’s game schedules ( house, competitive, adult) and identify the requirements
  • Post the referee schedule on the KDSC Website and email to referee list
  • Where required by the league – use Ref Center to assign referees
  • Track the assignment of games for the purpose of payroll and submit to the KDSC Treasurer

Public Relations

(1) Current: Vacant
  • responsible for the publicity of the Club
  • contact local meeting for scores and notes of interest throughout the season
  • deal with any publicity issues as may be deemed important by the current executive
  • be the keeper of the "camera" and keep track of borrowers
  • attempt to have each team's picture in the local paper at least once during the season

Picture Day Coordinator

(1) Current: Jamie Hambley
  • Obtain tenders
  • Present tenders to the Executive Board
  • Communicate schedule to Team Mangers
  • Organize and create a schedule for Photo Day with assistance from the Photographer
  • Distribute Photos to Team Mangers at the Fun FestivalCommunicate conflicts and solve problems pertaining to the photographer
  • Provide feedback to Board regarding the Photographer

Team Coaches

We need qualified or unqualified but willing coaches. We encourage all our coaches to improve their certification level. Contact the Club if you are interested in taking a course. If you take a course and coach a KDSC team this year we will reimburse the cost at the end of the season. We also will rebate coaches for one of their child's registration fees. (see Coach Rebate Policy for details)
Duties:
• Attend coaches meeting organized by the Club
• Attend all training sessions provided by the Club
• Maintain open communication with your Team Manager
• Create practice plans and run practices
• Provide guidance, coordinate on the field play, make substitutions during games
• Complete an evaluation of all players on your team at the end of the season
• Communicate with parents where required
• Develop players skills

As a reminder Coaches can check their status/qualifications and request corrections, new cards and address changes from the Coaching Association of Canada web site. You will require your certification number (CCxxxxxx) to check your status. There is contact information available that may be useful if your have forgotten your CC number. Team Managers
Duties
• Attend coaches/managers meeting organized by Club
• Distribute team list to players (player, parent name, address, home & cell phone number and email.)
• Distribute regular season schedule to parents once it becomes available
• Pick up team equipment at club house
• Coordinate distribution of team uniforms
• Coordinate, schedule and inform parents of team photos
• Coordinate parent volunteer duties for Fun Festival
• Distribute photos to players at Fun Festival
• Distribute awards to players at Fun Festival
• Fill in game sheets prior to each game and obtain coach’s signature
• Maintain communication with parents regarding practices, re-scheduled games etc.
• Act as a spokesperson for the parents as required
• Return equipment to Club house

General Assistance

We need people we can call on to perform a variety of  small jobs. This would include  help moving goals, nets, or help on tryout & evaluation night etc. 

Referees

We need teenagers and adults, of either gender, to act as referees. The games assigned, and compensation, will depend on qualifications and experience. Referees must be 14 by 1st April in their first year.
